You have bought HubSpot, or you are about to. The sales team wants pipelines, marketing wants forms and email sequences, someone needs to import eight years of contacts from spreadsheets, and the office also needs help with laptops and Microsoft 365. You are trying to decide whether to hire a freelancer, pay an agency, or bring someone in-house, and whether one person can cover both the HubSpot setup and the IT.
The practical answer: treat HubSpot setup and IT support as two separate jobs. For HubSpot, use a HubSpot Solutions Partner agency or an experienced freelancer for the initial implementation, which is a defined project, then decide whether ongoing administration justifies an internal hire. For IT, use a managed service provider or IT consultant. Very few people are genuinely good at both, and the one who claims to be usually is not.
Why these are different jobs
HubSpot implementation is business process work in software: deciding how leads move to deals, which properties to track, how marketing hands over to sales, what gets automated and what reports leadership needs. It sits closer to revenue operations than to IT.
IT support is infrastructure and security work: user accounts, devices, email security, backups, networking and access control. Getting it wrong has a different kind of cost. If you are running on Microsoft 365, our guide on what to test in Office 365 first shows how much of that work is configuration and security.
Hiring one generalist for both usually means the CRM gets set up by someone who does not understand your sales process, or the security gets handled by someone who mostly builds workflows.
Know what HubSpot itself will charge you
Before comparing helpers, check your HubSpot plan. HubSpot’s pricing pages list a required one-time onboarding fee for Professional and Enterprise tiers. As published in September 2026, Marketing Hub lists $3,000 for Professional onboarding and $7,000 for Enterprise, and Sales Hub lists $1,500 for Professional and $3,500 for Enterprise. Starter plans do not require onboarding.
That onboarding is guidance and training, not a done-for-you build. Ask HubSpot, and any Solutions Partner you speak to, how partner-led implementation relates to the required onboarding on your specific deal, because it affects your total budget.
Freelancer, agency or in-house
| Option | Best when | Watch out for |
|---|---|---|
| Freelancer | One or two hubs, clear requirements, modest data migration | Availability, single point of failure, limited range across sales, marketing and integrations |
| Solutions Partner agency | Several hubs, messy data, integrations, multiple teams to align | Paying for strategy workshops you do not need; junior staff doing the build |
| In-house admin | HubSpot is central, changes are constant, and there is enough work for a role | Hiring before the system is designed, so the new hire inherits a mess |
A pattern that often works: a partner or senior freelancer designs and builds the foundation, an internal person is trained during the project, and the outside help moves to a small monthly retainer for complex changes.
What a good implementation covers
- Process mapping: lifecycle stages, lead status, deal stages and handover rules agreed with sales and marketing leaders.
- Data model: which properties matter, naming conventions, required fields and ownership.
- Data migration: de-duplication, cleaning and importing contacts, companies and deals, with a record of what was left behind.
- Integrations: email, calendar, website forms, accounting, and any product or support tools.
- Automation: lead routing, follow-up tasks, nurture emails and internal notifications, kept simple at first.
- Permissions: who can see, edit, export and delete.
- Reporting: the five or six dashboards leadership will actually look at.
- Training and documentation: short guides for each team, recorded sessions and an owner for the system.
If a proposal skips process mapping and jumps to building workflows, expect rework.
A worked example
Consider a hypothetical 35-person B2B services firm moving from spreadsheets to HubSpot Sales Hub Professional, with a small marketing function. It has around 20,000 contact records across old spreadsheets and email, and wants website forms, pipeline reporting and basic nurture emails.
A freelancer could handle this well if they have done similar migrations and the firm makes decisions quickly. An agency is worth the extra cost if the firm also wants integration with its accounting system and help agreeing a lead handover process between two departments that currently disagree. An in-house hire makes sense later, once the system is live and the firm finds itself asking for changes every week.
Separately, the firm’s laptops, Microsoft 365 security and backups go to a managed IT provider on a monthly contract.
Questions to ask before hiring anyone for HubSpot
- Show us two implementations similar in size and hubs to ours. What went wrong on them?
- Who will actually do the build, and what HubSpot certifications do they hold?
- How will you handle our data migration and duplicates?
- What will we own at the end: documentation, training, admin access?
- What is fixed price and what is billed hourly?
- What happens after launch if something breaks?
If you are also deciding who should run marketing inside the system, our piece on hiring a digital marketing manager for a small business covers that role.
Help with the CRM and the IT around it
A CRM rollout goes better when the system design, the data work and the IT underneath are each handled by people who do that work every day. AB7 Solutions provides CRM development and implementation support, including data migration, integrations through APIs, workflow automation and ongoing CRM administration, and separately offers managed IT and cybersecurity services. We can work alongside your HubSpot onboarding or an existing partner. If HubSpot Starter and a few hours of setup will do the job, we will tell you that rather than propose a project.
Tell us which HubSpot hubs you have, where your data lives today and what the IT setup looks like, and we will suggest the right mix of help.
