Online Bookkeeping Service or Local Bookkeeper? What to Check First

Your books are three months behind, tax season is closer than you would like, and an online bookkeeping service advertising a flat monthly fee looks like the answer. Before you sign, you want to know what these national services are actually like to work with, and whether a local bookkeeper or an accountant would be the better call.

The honest answer is that it depends less on the brand than on the model. Online bookkeeping services work well for simple, standardised books when you are comfortable with a rotating team and a defined scope. A local bookkeeper or small firm usually fits better when your books are messy, you want one person who knows your business, or you need tax advice and representation alongside bookkeeping. Whichever you choose, keep ownership of your accounting file and data, because the provider may not be around forever.

What a national online bookkeeping service usually is

Most offer monthly categorisation and reconciliation, financial statements, and often tax preparation as an add-on or bundle, delivered through an app, a portal and scheduled calls. The appeal is price predictability and convenience.

The trade-offs are structural, not a question of which company is good or bad:

  • Scope is defined tightly. Catch-up work, payroll clean-up, inventory, multiple entities or sales tax in several states are often extra.
  • Your contact may change. Service is frequently delivered by a team rather than one named bookkeeper.
  • The work fits a standard process. That is efficient for a straightforward service business and awkward for anything unusual.
  • Sales and delivery are separate. The person who sold you the plan is rarely the one doing the work.

None of this is a reason to avoid the model. It is a reason to be precise about what you are buying.

The lesson from Bench

Provider continuity is a real risk. In December 2024, Bench, a well-funded online bookkeeping company, announced an abrupt shutdown on 27 December, days before year-end. It was acquired by Employer.com three days later, and service was said to continue, but customers had a very uncomfortable week in the middle of tax preparation season.

The practical lesson for any provider, large or small:

  • Keep your books in an accounting system you own and can log into, such as your own QuickBooks Online or Xero subscription, rather than only in a provider’s proprietary platform.
  • Download financial statements and general ledger reports every month or quarter.
  • Keep copies of tax returns and supporting schedules yourself.
  • Check what happens to your data if you leave or the provider closes.

Bookkeeper, accountant or tax professional: who does what

Bookkeeping, accounting advice and tax representation are different jobs, and pricing reflects that.

If a bundled service includes tax filing, ask who prepares and signs your return and what credential they hold. The IRS publishes a searchable directory of federal tax return preparers with credentials, which you can use to check.

A worked comparison

Take a hypothetical consulting firm with six employees, one bank account, two credit cards, and revenue through invoices and Stripe.

  • An online service is likely a good fit: transaction volume is moderate, the chart of accounts is simple and there is no inventory. The owner should confirm that payroll entries from their payroll provider and Stripe fees are handled correctly.
  • A local bookkeeper becomes attractive if the owner wants monthly conversations about cash flow, or if the firm expands into a second entity.

Now take a hypothetical e-commerce brand with inventory, three sales channels and sales tax obligations in several states. A standardised plan may struggle, and a bookkeeper or firm experienced in e-commerce accounting will often save money in corrections later.

Questions to ask before signing with any provider

  1. What exactly is included each month, and what is billed extra (catch-up, payroll, sales tax, extra accounts)?
  2. Will I have a named bookkeeper, and how do I reach them?
  3. Which accounting software will my books live in, and will I have my own login?
  4. How quickly are the books closed each month?
  5. Who prepares and signs my tax return, and what credential do they hold?
  6. How do I get my data and reports if I cancel?
  7. What is the cancellation notice period, and are any fees paid in advance?

Warning signs

  • You cannot get read access to your own accounting file.
  • Reconciliations are “done” but bank balances do not match the statements.
  • Uncategorised transactions keep piling up in a suspense account.
  • Nobody can explain large movements in your profit and loss.
  • Tax questions are always deferred to “your tax team” whom you never speak to.
